TITLE: Regional Membership & Data Specialist


REPORTS TO: Director of Operations


CLASSIFIED: Full-Time, Exempt

WORK LOCATION: Northern: Either Brookings or Flandreau. Southern: Either Vermillion or Yankton. This is a hybrid position with some remote work allowed.

JOB SUMMARY: The Regional Membership & Data Specialist is responsible for overseeing the recruitment, enrollment, and retention of Club members while ensuring the accuracy and integrity of membership and program data through MyClubHub (MCH). This position serves as the main point of contact for MCH throughout the assigned region, supports and trains staff to ensure consistent programming and data tracking practices, and travels between sites as needed. This role also supports parent and family communications related to enrollment and ensures that data tracking aligns with organizational goals, reporting requirements, and BGCA standards.

JOB DUTIES:

Membership & Recruitment

  • Develop and implement strategies to recruit and retain members across Club programs in the assigned region.
  • Oversee and support the full member enrollment process, including registration, renewals, waitlists, and parent communications.
  • Maintain complete and accurate member records in MyClubHub (MCH).
  • Serve as a resource for families and Club staff with questions about membership, enrollment, payments, and Club policies.

Data Management & Reporting

  • Ensure timely and accurate entry of daily attendance, program participation, and outcome data in MCH across assigned region sites.
  • Act as the primary MCH contact for the region, providing technical support, troubleshooting, and guidance to staff at all sites.
  • Lead training and ongoing support for staff to maintain high standards of data quality and consistency.
  • Generate reports and prepare data for grants, BGCA requirements, and other organizational needs.
  • Conduct routine audits to ensure data integrity and compliance with reporting requirements.

Additional Duties

  • Collaborate with Unit Directors and Program staff to align data tracking with program goals and grant requirements.
  • Travel to assigned region sites for training, audits, support, and periodic in-person engagement with members and families.
  • Participate in staff meetings, training sessions, and community outreach as needed.
  • Uphold the mission, values, and policies of the Boys & Girls Club of the Northern Plains.
  • Perform other related duties as assigned.

EMPLOYMENT QUALIFICATIONS:

  • Bachelor's Degree from an Accredited University or 2 years equivalent experience is preferred.
  • Previous experience in customer service, data management, or membership coordination is preferred.
  • Strong organizational and communication skills.
  • Detail-oriented with the ability to manage multiple tasks efficiently.
  • Proficiency in Microsoft Office Suite and experience with data management software (e.g., MyClubHub or similar platforms) is a plus.
  • Ability to travel regularly between sites within the assigned region.
  • Ability to work some evenings and potential weekends.

PHYSICAL REQUIREMENTS:

  • Must be of the mental and physical capacity to observe, interact, and communicate with youth, staff, volunteers, parents, etc. at Club sites to ensure safety of the space and others, provide guidance and reflection per the Club priority outcomes and goals.
  • Ability to stand/sit for long periods of time throughout a shift.
  • Ability to operate various types of general office equipment including PC, telephone, copier, etc.
  • Ability to travel between sites within the assigned region, including driving as needed.
  • This position is safety-sensitive.
